Position Title: Director of Client Operations and Services

Location: Myrtle Beach, SC or Denver, Co

Reports To: Vice President of Operations

Job Summary: The Director of Client Operations and Services at Sovereign Family Office is responsible for ensuring the seamless scheduling, preparation, and execution of client plans and communications. This role requires proactive client engagement, attention to detail and proactive follow up, and a warm and excellent approach to customer service and clients. This position will implement and oversee standard operating procedures to ensure every client is prioritized and receives timely attention.

Key Responsibilities:

1. Client Communication and Execution of Wealth Management

  • Direct and manage reactive client communication in email and phone calls. Handling capital calls, wires, and investments under the direction of Financial Advisors.
  • Manage and help implement Custodian platform and other software for clients and Advisor’s behalf, including tools like Geowealth.
  • Helping execute overall financial management under Advisor’s director for Clients

2. Client Deliverables & Data Management

Support the preparation and delivery of financial planning materials by gathering, organizing, and maintaining client data related to complex assets across multiple entities, including:

    • Business and personal financial reports
    • Asset management reports
    • Cash flow projections
    • Tax strategy documentation
    • Whole-picture wealth planning materials

3. Ensure No Gaps:

  • Cover for other team members when out of town or out of capacity as needed, handling anything the business needs to make happen for client delivery
  • Proactively care for customers, perceiving needs, and making them happen.

4. Meeting Deliverables & Updates:

  • Assist with onboarding clients into new wealth management software platforms, ensuring data accuracy and completeness throughout setup.
  • Collaborate with the operations team to create and update client-specific meeting deliverables, including financial summaries, strategy updates, and action items.
  • Suggest and complete updates to meeting deliverables based on client feedback or changes in their financial situation.
  • Maintain communication with clients as needed for follow up items, providing them with timely updates on their financial activities and deliverables when asked.

5. Task Management & Internal Communication:

  • Maintain and update the internal task board with all client-related tasks and meeting statuses, ensuring transparency and access for the entire team.
  • Keep track of each client’s progress and ensure the team can easily see the status of ongoing tasks, upcoming meetings, and pending deliverables.

Qualifications:

  • 2-5 years RIA experience
  • Working experience with Excel, QuickBooks, or other accounting software
  • Experience with design software (powerpoint, canva or figma) preferred
  • Ability to handle confidential information with integrity and discretion
  • Proven ability to manage multiple clients and prioritize tasks effectively
  • Familiarity with wealth management and financial planning concepts a plus
  • Strong organizational skills with the ability to implement and manage timelines and standard operating procedures.
  • Excellent communication and interpersonal skills.
  • Attention to detail and commitment to delivering a high level of client service.
